Appointments, Rescheduling and No-Show Policy

1. Reservations and non-refund policy

Once an appointment or service has been booked and paid for, the purchase is considered final and non-refundable. By completing a booking or purchasing a service, package, or membership, the patient confirms having read and accepted JG Therapy Center's Terms and Conditions and applicable policies.

If the patient is unable to attend on the originally selected date or time, you may reschedule your appointment in accordance with the conditions set forth in this policy. Rescheduling an appointment does not constitute a cancellation and does not result in any refund.

2. Reminder 24 hours before

The patient will receive a first reminder approximately 24 hours prior to the scheduled time of their appointment. From that moment on, you will have the option to: Confirm Appointment or Reschedule on your portal. If the patient knows that they will not be able to attend, they should use the Reschedule option available on their portal to select a new date and time.

Rescheduling before the scheduled time of the appointment will not incur any additional charges.

3. Reminder 2 hours before

The patient will receive a second and final reminder approximately 2 hours prior to their appointment.

This reminder will again allow the patient to: Confirm their attendance or Reschedule the appointment if they determine that they will not be able to attend.

Until before the scheduled time of the appointment, the patient can use their portal to reschedule without generating a No-Show Fee.

4. Appointment Confirmation

The “Confirm Appointment” option allows the patient to inform JG Therapy Center that they maintain their intention to attend the scheduled appointment. However, not having pressed the "Confirm Appointment" button does not automatically mean that the patient has lost their session or authorize the collection of a No-Show Fee.

Confirmation will be used primarily as an administrative and organizational tool. Similarly, confirming an appointment is not a substitute for attendance. If after confirmation the patient determines that they will not be able to attend, they must use the Reschedule option before the scheduled time.

5. No-Show Fee — $39

If the scheduled time of the appointment arrives and the patient: does not show up and has not previously rescheduled their appointment, the appointment may be recorded as a No-Show. Once JG Therapy Center has verified that the patient did not actually attend and did not perform a previous rescheduling, a No-Show Fee of $39 will be applied to the authorized payment method and saved in the patient's account.

The charge will not be made automatically only because the patient has not pressed "Confirm Appointment". Absence must be verified by JG Therapy Center before executing the corresponding charge.

6. The No-Show Fee applies to all patients

The $39 No-Show Fee policy applies to all JG Therapy Center patients, regardless of the service purchased or the modality through which the session was obtained.

This includes, but is not limited to: individual appointments, rehabilitation services, recovery, contrast therapy, infrared sauna, cold plunge, sports optimization, rehabilitation packages, sports optimization packages, memberships, recovery/rehabilitation memberships, contrast therapy memberships, sauna or cold plunge memberships, and any other package, membership, or service that includes a pre-booked appointment.

Having a membership or package does not exempt the patient from this policy. When you book an appointment, that time is set aside specifically for that patient and is no longer available to others.

For this reason, regardless of whether the session has been purchased individually, through a package or as part of a membership, an absence without prior rescheduling may generate the No-Show Fee of $39.

7. Patients with memberships or packages

Patients who have sessions previously purchased through a membership or package will retain their session after a No-Show, provided that such session continues to be valid under the conditions and validity of their plan. The No-Show Fee does not automatically mean the loss of the acquired session.

After paying the No-Show Fee of $39, the session may be made available again for the patient to reschedule, according to the conditions corresponding to their package or membership. However, the $39 charge will be applied for booking a schedule that was not used or released through timely rescheduling.

The No-Show Fee is completely independent of the value of the session, package or membership. Payment of the fee: does not purchase an additional session, does not automatically extend the validity of a membership or package, does not constitute a credit for future services and does not replace the payment corresponding to the contracted service.

Each new absence without prior rescheduling may generate a new No-Show Fee of $39.

8. Appointment rescheduling

JG Therapy Center allows an appointment to be rescheduled when the patient is unable to attend at the originally selected date or time. Rescheduling should be done from the patient portal prior to the scheduled appointment time. As long as the appointment is rescheduled in a timely manner, the No-Show Fee of $39 will not apply.

Once the scheduled time has been reached without the patient having presented or rescheduled, JG Therapy Center will be able to register the appointment as a No-Show and apply the corresponding policy.

9. Authorized Payment Method

In order to use certain services, packages, or memberships, it may be required to maintain a valid payment method associated with the patient's account.

By accepting the JG Therapy Center Terms and Conditions, the patient acknowledges and accepts this policy and authorises JG Therapy Center to charge the No-Show Fee of $39 to the authorised payment method where applicable. The charge will be made only after JG Therapy Center has verified the corresponding absence.

10. Patient responsibility

It is the patient's responsibility to: keep his/her phone number up to date, keep his/her email up to date, review communications related to his/her appointments, confirm his/her attendance when appropriate, promptly reschedule if unable to attend and show up punctually at the reserved time.

Reminders sent by SMS or email are provided as an additional tool to facilitate appointment management.

Failure to receive a reminder due to incorrect contact information, email or SMS filters, device issues, service interruptions, or other circumstances beyond the control of JG Therapy Center does not remove the patient's responsibility for a previously booked appointment.

11. Exceptional situations

JG Therapy Center will be able to evaluate emergency situations or exceptional circumstances on an individual basis. Any exceptions to this policy shall be at the discretion of JG Therapy Center and shall not constitute a permanent modification of the stated conditions.

Cancellation & Appointments

1. Appointment cancellation

Appointments can be cancelled from the patient portal before the scheduled time.

2. Late cancellation

If the cancellation occurs within 24 hours before the appointment, a late cancellation fee will be charged to the card on file, according to the current policy.

3. No refunds

Once an appointment is booked and paid, the purchase is final and non-refundable. Rescheduling does not constitute a cancellation and does not generate a refund.

4. No-Show fee

If the patient does not attend nor reschedules their appointment before the scheduled time, a No-Show fee of $39 will apply according to the Appointments, Rescheduling and No-Show Policy.

Privacy Policy

1. Data Collection: We only collect information necessary to provide quality physiotherapy care: full name, email, phone, appointment history, treatment notes, and payment data processed through certified providers (Square).

2. Use of Information: Your information is used exclusively to manage your appointments, communicate about your treatment plan, process payments and memberships, comply with legal obligations, and improve our services.

3. No Sharing: We do not sell, rent, or share your personal information with third parties without your explicit consent, except when required by law or to process payments through certified providers.

4. Security: We implement technical and organizational security measures to protect your information. We use SSL/TLS encryption for all communications.

5. Your Rights: You have the right to access, rectify, delete your data and file complaints with data protection authorities. Contact info@jgtherapycenter.com to exercise your rights.

6. Cookies & Technology: We use cookies to improve your experience and remember your preferences. You can configure your browser to reject cookies.

7. Data Retention: We retain your information while you maintain an active account and for the period required by applicable laws.

Payment Policy

1. Payments

Payments are processed securely through Square. For services with card-on-file, a payment method is required to cover possible cancellation or no-show charges.

2. Memberships and early cancellation fees

Memberships are recurring plans billed automatically every month. If you cancel your membership within the first 6 months of use, you will receive an additional fee of $50 for early cancellation, in accordance with the Terms and Conditions of the site.

After 6 months, cancellation is free of charge.

3. No-Show fee

If you do not attend nor reschedule a booked appointment, a fee of $39 will apply for not attending (No-Show), according to the Appointments, Rescheduling and No-Show Policy.

4. Refunds

Refunds are evaluated case by case. Contact info@jgtherapycenter.com for refund requests.

5. Authorized payment method

Certain services, packages or memberships may require keeping a valid payment method associated with the account. By accepting the Terms and Conditions, you authorize JG Therapy Center to charge the applicable fees (early membership cancellation $50, No-Show $39) to the authorized payment method when applicable.

6. Non-refundable fees

The No-Show fee ($39) and the early membership cancellation fee ($50) are non-refundable and are independent of the value of the session, package or membership.

Terms & Conditions

1. Site Use: This portal is for exclusive use of JGtherapy patients. By creating an account you agree to use the system responsibly and provide accurate and current information.

2. Personalized Treatments: Each treatment and technique applied will depend on individual evaluation and specific patient needs. Not all patients require the same therapeutic tools or protocols.

3. Modifications: We reserve the right to modify these policies at any time. Changes will be notified through the portal and/or email. Continued use of the service after modifications constitutes acceptance.

4. Communications: By registering you may receive communications about your appointments, treatments, reminders and updates. You can update your preferences in your profile.

5. HIPAA: We comply with HIPAA provisions to protect your Protected Health Information (PHI).

SMS Consent

By providing your phone number and giving consent, you authorize JGtherapy to send you text messages (SMS) for: appointment confirmations, reminders (24h and 2h before), cancellation and rescheduling notifications, post-appointment follow-up and review requests.

Frequency: Varies, up to 4-6 messages per month depending on your activity.

Costs: Standard message and data rates from your mobile carrier may apply.

To opt out: Reply STOP to any message. You can also update preferences in your patient portal.

Consent is not a condition of receiving treatment.

SMS Privacy

Your phone number will be used exclusively to send you messages related to your appointments, treatments and JGtherapy services.

We do not sell, rent, or share your phone number with third parties for marketing purposes.

Your messages and contact data are protected under our general Privacy Policy and applicable regulations (HIPAA, TCPA).

Mobile carriers are not responsible for delayed or undelivered messages.
